Who we are and what this policy covers

This Privacy Policy explains how Lease Pace TYH LLC ("LeasePace," "we," "us") collects, uses and shares information. It covers visitors to leasepace.io, the property managers and leasing teams who use LeasePace ("Customers"), and renters and prospects who message a Customer through LeasePace.

Our role

When renters message a property manager that uses LeasePace, we process their information on that property manager's behalf, as a service provider. The property manager decides how that information is used, and its own privacy policy applies. If you're a renter with a question or request about your information, contact the property manager you were communicating with. We'll help them respond.

For information about Customers and website visitors, LeasePace is responsible for it as described in this policy.

Information we collect

From Customers: name, business name, email, phone number, account settings, the unit, pricing and policy information you give us, and how you use the Service. Payments are handled by our payment processor. We don't store full card numbers.

From renters and prospects, on behalf of Customers: name, phone number, the content of messages, details shared in conversation (such as move-in date, budget, household size or pets), tour bookings, and rental applications, documents and e-signature records submitted through the Service.

From website visitors: information you submit in forms or send us by WhatsApp or text, plus technical information such as IP address, browser type, pages visited and referring site.

How we use information

• To provide the Service: sending and receiving messages, generating Pace's replies, scheduling tours, and processing applications and e-signatures.
• To set up and support your account, and to communicate with you about it.
• To bill for subscription and usage fees.
• To keep the Service secure and prevent fraud and abuse.
• To comply with legal obligations.
• To train, develop and improve Pace and the Service, including using message content.

AI processing

To generate replies, Pace sends message content and relevant account information to third-party AI model providers, under agreements that restrict how they can use that data.

We use conversations, including renter messages, to train and improve Pace so it can serve Customers and renters better.

SMS and WhatsApp messages

Renters receive messages from a Customer's number after contacting that Customer or otherwise agreeing to be contacted. Message frequency varies with the conversation. Message and data rates may apply. Reply STOP to opt out at any time, and HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the providers that deliver the messages.

How we share information

We do not sell personal information. We share it only:

• With the Customer a renter is communicating with.
• With service providers that help us run the Service, such as hosting, messaging and phone carriers, WhatsApp, AI model providers, e-signature, analytics and payment processing. They may use it only to provide their services to us.
• When required by law, or to protect the rights, safety and security of LeasePace, our Customers or others.
• As part of a merger, acquisition or sale of assets, subject to this policy.

Data retention

We keep Customer and renter information for as long as the Customer's account is active. Customers can export their data before closing their account. When an account is closed, we delete its information, except where the law requires us to keep it. Copies in backups are removed on our regular backup schedule. Customers can also ask us to delete specific renter records at any time.

Security

We use reasonable technical and organizational safeguards, including encryption in transit and access controls, to protect information. No system is completely secure, and we can't guarantee absolute security.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or get a copy of your personal information, and to opt out of certain uses. To make a request, email [email protected]. We'll verify the request and respond within the time the law requires. Renters: for information held on behalf of a property manager, we'll pass your request to that property manager and help them respond.

Cookies

Our website uses essential cookies to work properly, and may use analytics tools to understand how visitors use it, such as which pages are viewed. You can control cookies through your browser settings.

Children

LeasePace is not directed to children under 18, and we don't knowingly collect their information.

Changes to this policy

We may update this policy. The "Last updated" date at the top shows the latest version. If a change is material, we'll notify Customers by email or in the Service.
